If you're moving to a new email provider, you may need to manually export and import your Contacts, Calendars, Tasks, and Notes.
Why? Because the IMAP protocol, used by RoundCube and other email servers, does not sync anything other than emails, so clients must use a local desktop application (e.g., Outlook, Apple Mail, Thunderbird) to migrate contacts, calendars, tasks, and notes.
Follow the steps below to ensure a smooth transition.
Exporting Your Data
From Microsoft Outlook
- Open Outlook and go to File > Open & Export > Import/Export.
- Select Export to a file and click Next.
- Choose Outlook Data File (.pst) and click Next.
- Select the items to export (Contacts, Calendar, Tasks, Notes)
- Click Next, choose a location to save the file, and click Finish.
From Apple Mail & Calendar (macOS)
Export Contacts
1. Open the Contacts app.
2. Go to File > Export > Export vCard.
3. Save the file to your computer.
Export Calendar
1. Open the Calendar app.
2. Select the calendar you want to export.
3. Go to File > Export > Export.
4. Save the file (.ics) to your computer.
Export Notes
1. If Notes are stored locally, open the Notes app.
2. Manually copy and paste each note into a document or email it to yourself.
From Mozilla Thunderbird
Export Contacts
1. Open Thunderbird and go to the Address Book.
2. Select the address book you want to export.
3. Go to Tools > Export.
4. Save as CSV (Comma Separated Values) or vCard (.vcf).
Export Calendar
1. Open Thunderbird and go to Events and Tasks > Calendar.
2. Select the calendar to export.
3. Click Export and save as a .ics file.
Importing Your Data to Microsoft Outlook (Exchange)
Import Contacts
1. Open Outlook and go to File > Open & Export > Import/Export.
2. Select Import from another program or file and click **Next.
3. Choose Comma Separated Values (.csv) or Outlook Data File (.pst), then click Next.
4. Select your saved file and complete the import process.
Import Calendar
1. Open Outlook and go to the Calendar tab.
2. Click File > Open & Export > Import/Export.
3. Select Import an iCalendar (.ics) or vCalendar (.vcs) file and click Next.
4. Select the file you exported and click Open.
Import Tasks and Notes
1. If you exported a .pst file, repeat the import process using File > Open & Export > Import/Export.
2. Choose Import from another program or file and select your .pst file.
3. Follow the prompts to import Tasks and Notes.
Final Steps
- Check your Contacts, Calendar, Tasks, and Notes in Outlook to ensure everything transferred correctly.
- If needed, reconfigure any settings or categories that may have changed during the migration.
